How to Plan a Wedding That Actually Gives You Time With Your Guests

You spend months (sometimes years) planning a wedding and bringing all of your favorite people into one place. Then somehow, the actual wedding day can go by so quickly that you barely feel like you got to talk to half of them.

It doesn’t have to be that way. Your wedding can have beautiful photos, a full celebration, and all of the traditions that matter to you without feeling like you’re being pulled from one thing to the next all day. A little intention when you’re planning your timeline can give you so much more room to actually be there for it.

Build in More Time Than You Think You Need

One of the easiest ways for a wedding day to start feeling rushed is when every part of the timeline is scheduled back-to-back. Hair and makeup runs a few minutes late. Someone needs help finding a boutonniere. Your dress takes longer to button than expected. None of these things are a big deal until there’s no extra time built into the schedule.

Adding a little breathing room throughout the day means those small delays don’t immediately take away from the time you planned to spend with your guests. And if everything does run perfectly on time? You just gave yourself an extra ten minutes to sit down, have a drink, or talk to the people who came to celebrate you.

Consider Seeing Each Other Before the Ceremony

A first look isn’t the right choice for every couple, but if spending more of your wedding day together and with your guests is important to you, it’s worth considering.

Seeing each other beforehand can open up time for couple portraits, wedding party photos, and even some family photos before the ceremony begins. That can mean fewer photos to take afterward and more time to head straight into cocktail hour with everyone else.

If you’ve always pictured seeing each other for the first time at the ceremony, though, keep it that way. Your timeline should work around what matters to you, not the other way around.

Be Intentional With Your Family Photo List

Family photos are important, but they can also take up a surprising amount of time when there isn’t a plan.

Before your wedding, decide which combinations you genuinely want photographed and keep the list focused on the people and groupings that matter most. Larger extended-family combinations can always happen later during the reception if you want them. Having a clear list also means everyone knows where they need to be, so we can move through photos efficiently instead of spending that time tracking people down.

Actually Go to Your Cocktail Hour

Cocktail hour doesn’t have to be the part of the wedding you only hear about afterward. If we’re able to take most of your portraits earlier in the day, you can actually join it.

This is one of the easiest opportunities to spend time with guests because there’s nothing you really need to do. You can grab a drink, hug the people you haven’t seen yet, see all of the details you spent months choosing, and enjoy that in-between part of the day before everyone sits down for dinner. Even being there for half of cocktail hour can give you so much more time with everyone.

Think About How You Want the Reception to Feel

It’s easy to fill a reception timeline because there are so many things you can include: introductions, first dances, speeches, dinner, cake cutting, parent dances, sunset photos, outfit changes, and everything in between. But you don’t need to do every wedding tradition just because it’s a wedding tradition.

Think about what you actually want to experience that night. If being on the dance floor with your friends is at the top of the list, leave plenty of room for that. If sitting down and eating dinner with your family matters to you, protect that time. The fewer times you have to stop what you’re doing to move on to the next scheduled event, the more present the night can feel.

Plan Portraits Around Your Day, Not Your Day Around Portraits

I obviously love wedding photos. But I never want you to look back and feel like you spent your entire wedding day taking them. There are ways to create an incredible gallery without disappearing from your celebration for hours.

We can be strategic about when we take portraits, break them into shorter pockets throughout the day, and take advantage of the locations and light already around us. Sometimes ten intentional minutes is all we need before sending you right back to your people. Your photos should document your wedding, not take you away from it.

Give Yourself Permission to Stay

This might be the simplest thing on this list.

If you’re having a conversation with your grandmother, stay for another minute. If your favorite song comes on while we planned to sneak away for portraits, finish dancing. If everyone is sitting around a table laughing and you don’t want to leave yet, don’t.A good wedding timeline gives us a plan. It shouldn’t make you feel like you’re following a schedule every second of the day.

Because at the end of it all, the people in the room are a huge part of what makes your wedding yours. The photographs matter deeply. But so does actually getting to live the moments that end up in them.
